Privacy Policy

This page is maintained by the Edula School Hub team to explain how we handle personal information. It is intended as a clear summary of our current practices, not as independent legal verification. Schools that use Edula remain responsible for their own data-protection obligations to their pupils, parents and staff.
1. Who we are
Edula School Hub is a school-management platform operated by Edula Technologies. When a school signs up, the school is the data controller for pupil, parent and staff information; Edula acts as a data processor, providing the tools that store, process and transmit that information on the school’s instructions.
2. What information we collect
We collect and process information that schools, parents, students and staff enter into the platform, including:
- Account data: name, email address, phone number, role and password or OAuth identity.
- School records: classes, attendance, grades, behaviour notes, homework, timetables, fees and medical notes.
- Communication: journal posts, announcements, messages, comments and reactions.
- Media: photos, videos, voice notes and documents uploaded by school staff.
- Usage data: app feature usage, device type, language preference and error logs.
- Payment data: mobile-money transaction references and invoice status. We do not store card numbers.
3. How we use information
We use the information only to provide and improve the service:
- To deliver classroom journals, attendance, reports, homework and school announcements.
- To send notifications by push, email, SMS or WhatsApp based on user preferences.
- To generate aggregated insights for school leaders and platform administrators.
- To process school fee payments and maintain a transaction ledger.
- To keep the platform secure, reliable and compliant with our terms.
We do not sell personal information or use it for advertising.
4. Sharing and subprocessors
We share data only with trusted service providers that help us run the platform — for example, cloud hosting, email delivery, push-notification gateways, maps and analytics. Each provider is contractually bound to use data only for the purpose of delivering services to Edula and to maintain appropriate security controls.
Schools control who can see information inside their own tenancy. Edula platform administrators can access aggregated, non-identifiable metrics across schools, but cannot view a school’s private pupil, parent or classroom records except when explicitly required for support and with the school’s authorisation.
5. Data retention and deletion
We keep data for as long as a school maintains an active Edula account. When a school closes its account, we delete or anonymise personal data within a reasonable period, except where a longer retention period is required by law or for legitimate business purposes such as billing records and audit logs.
Schools can remove pupils, parents and staff through the school admin interface. Removed records are soft-deleted for safety and can be permanently erased on request.
6. Security
We protect data using encryption in transit (TLS), encrypted database storage, role-based access controls, row-level security policies, audit logging of sensitive actions, and regular security reviews. No system is completely risk-free, and we encourage schools to use strong passwords and to limit staff roles to the minimum access each person needs.
7. Your rights
Depending on your location, you may have the right to access, correct, export or delete your personal information. Parents and staff can update most details in the app settings. For requests that cannot be handled inside the app, please contact your school administrator or email us at the address below.
8. Children’s privacy
Edula is designed for use by schools and parents. We do not knowingly allow children under the age of digital consent in their country to create independent accounts. Schools are responsible for obtaining any necessary parental consent before adding pupil information to the platform.
9. Cookies and analytics
We use cookies and similar technologies to keep users signed in, remember language preferences and understand how the platform is used. Analytics data is aggregated and not used to track individuals across third-party websites.
10. Changes to this policy
We may update this Privacy Policy as the platform evolves. We will post the revised version here and update the “Last updated” date. Continued use of Edula after changes means acceptance of the revised policy.
